Privacy Policy
Version 1.0 · Effective [EFFECTIVE DATE]
This policy is about two different groups of people
Most privacy policies are written for the people who signed up. This one cannot be, because most of the personal information we hold belongs to people who never visited this website.
- Customers — the law firms that subscribe to LonestarPro Docket (the "application"), a product of IONIC DATA LABS LLC, and the people who work at them. Part A is for you.
- People involved in traffic accidents in Ohio — whose names, addresses, and injuries appear in police accident reports. You did not sign up for anything and probably do not know we exist. Part B is for you, and we have tried to write it plainly.
"We", "us" and "LonestarPro" mean IONIC DATA LABS LLC, 6545 MARKET AVE N STE 100, CANTON, OH 44721.
The short version
We collect police reports of motor vehicle accidents in Ohio. These are public records, filed by law enforcement agencies and available from public sources. We do not sell the reports — anyone can get them from those same sources. What we offer is software: it organizes the reports, standardises the addresses in them so that mail can be delivered, lets firms sort and filter them, and prints mailing labels. Law firms we have approved pay to use it, and see only the counties they pay for.
Law firms use this to write to accident victims about legal representation.
We do not sell your information to anyone. We do not run advertising or analytics trackers on our website. We do not buy or add information about you from any other source: everything we hold about you starts from what the police agency wrote down.
Part A — If you are a customer
What we collect from you
When you request access: your name, email address, telephone number, your firm's name, your firm's street address, and, if you choose to tell us, whether you use another crash report service now and which one. We use this to decide whether to approve your firm and to contact you about the request.
If you ask for a price match: the invoice your firm uploads during its trial from the service it uses now, and the monthly amount we verify from it. We use the invoice only to check your eligibility and set up your price. Only our staff can open it, we never share it, and we delete it when we decline your request, when we approve it and set up your price, or 30 days after you upload it, whichever comes first. We keep the verified monthly amount as the record of the price we agreed.
When you register and use the application: your name, email address, job title, your role within your firm, and a securely hashed version of your password. We record when you last signed in and when you accepted our Terms.
Letter templates: the letter templates, letterheads and enclosures your firm uploads or creates. They are stored privately for your firm, are available only to your firm's users, and are used only to produce your letters.
Billing information: your firm's name, your plan and billing period, and a record of your subscription status. Payments are processed by Stripe, and we do not receive or store your full card number — only the card's brand and last four digits, so you can tell which card is on file.
How you use the application: we record the actions your firm takes, including the mailing lists you open and close, the filters applied to a run, and which documents a user exported and when. These records name the user who took the action. They exist so that your firm has an accurate account of what it mailed and who decided it.
Technical information: standard server logs, and first-party cookies needed to keep you signed in and to secure forms.
What we do not do
We do not use third-party advertising or analytics trackers. There is no Google Analytics, no advertising pixel, and no session-recording tool on our website or in the application. We do not sell or rent customer information.
Why we use it
To provide the application and give you access to the counties you subscribe to; to take payment and manage your subscription; to send you service messages (your exports are ready, an export failed, your trial is ending, you have been invited to a firm); to keep the application secure and investigate misuse; and to meet our legal obligations.
We do not send marketing email to customers without consent. Service messages are not optional while you hold an account, because they are how the product tells you its work is finished.
How long we keep it
Account and firm records are kept while your plan is active and for at least one year afterward, so that we can meet accounting and legal obligations, and so there is a record of what was licensed to whom.
Records of what your firm exported are kept for the same period, for the same reason.
Your choices
You can update your account details in the application. The firm's owner can remove a user's access at any time.
To ask for a copy of your information, or to ask us to correct or delete it, write to contact@lonestarpro.app. We may need to keep some records after an account closes as described above, and we will tell you if that applies.
Part B — If you were involved in a traffic accident in Ohio
If you received a letter from a law firm after an accident, and it led you here, this section explains how that firm is likely to have got your address.
We may not be where the firm got your details
Police accident reports are public records. A law firm can request a report directly from the police department that filed it, download it from the Ohio Department of Public Safety's crash report website, or use other services. A letter about your accident does not mean the firm got your details from us.
What we hold about you
Everything recorded about you in the police accident report, as the agency that filed it released it, and a copy of the report itself.
Where it came from
From police reports of motor vehicle accidents filed by law enforcement agencies in Ohio. They are public records, and we obtain them from public sources. We did not get your information from you, from your insurer, from a hospital, or from any data broker.
Who can see it, and why
Only law firms that hold a paid plan and that we have approved, and only for the Ohio counties each firm pays for. Firms use it to write to people about legal representation after an accident.
We are not a law firm, and we do not send those letters. We do not sell this information, publish it, or make it searchable on the open internet.
If you do not want to be contacted
Please tell the firm that wrote to you. They hold the copy of your details that produced the letter, and they are the ones who can stop their own mailings. We cannot confirm or deny whether any firm is a customer of ours.
If something is wrong
We do not edit the contents of a police report; corrections to the report have to come from the agency that filed it.
If a letter reached you by mistake — addressed to the wrong person, sent to the wrong address, or with a report not about your accident — please tell the firm that sent it. Each firm is responsible for checking what it sends before it goes in the mail.
Security, sharing, and everything else
How the information is protected
- Accident records are shared across subscribers, but what each firm can see is filtered to the counties it pays for, every time it reads.
- Each firm's own records — its mailing lists, saved filters, and exported documents — are isolated to that firm by a database-level rule that fails closed: if the system cannot establish which firm is asking, it returns nothing rather than everything.
- Police report PDFs and generated documents are held in private storage with no public web addresses. Every download is authorized against the requesting firm at the moment it is requested. Any request for a document a firm is not entitled to is answered as "not found," so that a document reference can never be used to confirm what exists.
- Passwords are stored hashed, never in readable form.
- Card details are handled by Stripe and never reach our systems.
No system is perfectly secure, and we do not claim ours is.
Who we share information with
We do not sell personal information. We share it with service providers who help us run the application — such as hosting, storage, payment processing, email, and data processing — under contracts that limit them to that purpose.
We may also disclose information where the law requires it, to respond to lawful requests from public authorities, to enforce our Terms, or in connection with a merger or sale of our business — in which case we will require the recipient to honor this policy.
Data breaches
If personal information we hold is exposed by a security incident, we will investigate, take steps to contain it, and notify affected people and the relevant authorities where the law requires.
Changes to this policy
We may update this policy. If a change materially affects how we handle personal information, we will note it here and update the version and effective date at the top. Customers will be notified by email or in the application.
